Re:         Associated Fire Protection to Continue Operations as an Essential Business

To Whom It May Concern,
The health and safety of our employees, customers, and everyone in the community are valued above all else at Associated Fire Protection. We recognize that our customers rely upon us to ensure that their Life Safety & Fire Protection systems are operational and optimal to protect employees and occupants. In this spirit, AFP wants to share the status of our continued business operations and processes.

Essential Business Operation
We continue to monitor and evaluate the everchanging social and business environment due to the COVID-19 pandemic. AFP is a provider of all types of Life Safety and Fire Protection systems to every occupancy classification. Regardless of occupancy, these systems are critical infrastructure to First Responders. In a NFPA News Release dated March 24, 2020, NFPA President and CEO Jim Pauley stated,

“While communities are rightly focused on dealing with the pandemic, we cannot put additional strain to our overburdened emergency response capabilities, by not ensuring buildings are protected with the very equipment that saves lives and property. First responders rely on commercial and multi-occupancy residential buildings in their communities to have a full array of fire and life safety systems such as working fire detection, alarms and sprinkler systems.” [ 1 ]

Therefore, it is the position of Associated Fire Protection that we qualify under the various definitions of an “Essential Business”. This position supported by the United States DHS Cybersecurity & Infrastructure Security Agency memo date March 19, 2020 statement that “Workers – including contracted vendors – who maintain digital systems infrastructure supporting law enforcement and emergency service operations” are considered “Essential Critical Infrastructure Workers”. [ 2 ]  This memo was updated on March 28, 2020 further clarifying that “Workers providing electronic security, fire, monitoring and life safety services, and to ensure physical security, cleanliness and safety of facilities and personnel, including temporary licensing waivers for security personnel to work in other States of Municipalities.” Including “Dispatchers involved with service repair and restoration.” [ 7 ]

As an ISO 9001:2015 Certified Company, our procedures and processes allow us to quickly and efficiently train and cross-train our personnel if necessary. Additionally, this standardization enhances our ability to adapt our current operation to support other adjacent businesses in the areas of system installation, integration, procurement, and logistics. Currently, AFP has not been directly impacted by COVID-19, continues to operate at full capacity, and will continue to follow all preventative measures.

Suppliers & Logistics
As an Essential Business, AFP has continued to communicate with all vendors and freight carriers to ensure their continued operation. Our suppliers have avoided disruption from 3rd Party vendors, and freight continues to operate regularly, allowing AFP to continue delivering on our promise of “ensuring peace of mind by protecting life and property.” Prior to shipping outbound freight, AFP will communicate with each customer to ensure that there will be someone available to receive the shipment.

Thank you for allowing us to serve your business. We will continue to monitor policy changes and keep you informed. Please contact us if you have any questions.

Best wishes of health and safety to you and your families.

Re:         Inspections & Repairs During COVID-19/Coronavirus Pandemic

Dear Valued Customer,
These are unprecedented times in our community and nation. AFP is committed to doing our part as a Life Safety company to guard the health and safety of everyone. We have implemented our Pandemic Preparedness Plan which includes following CDC and governmental recommendations and requirements as well as our Emergency COVID-19/Coronavirus Protocol (see “2020-03-17 AFP Memo Regarding COVID-19.pdf” for additional information). We respect any additional measures that you have for visitors.

Our offices will remain OPEN, and we are dedicated to providing 24/7 Emergency Service with our deep on-call team. Central Station Monitoring has also taken necessary steps to ensure continued monitoring of your security and fire alarm systems.
We understand your concerns regarding social distancing, and many of you have asked the question:

“Will postponing my inspection or repair cause issues with our compliance?”

We have been in contact with local authorities for guidance. Currently, the expectations are as follows:

  • Inspections at High-Risk locations such as nursing homes and hospitals are not currently being enforced. Critical repairs should be completed as soon as possible.
  • For all other businesses:
    • inspections are to be completed within their regular cycle.
    • deficiency repairs are to be completed within a reasonable timeframe.
  • By maintaining a somewhat regular schedule, the jurisdictions are attempting to avoid an overload in needed services and repairs as our communities come out of this pandemic crisis.

AFP recognizes the financial hardship that is being placed upon every business. To reduce this burden, AFP is implementing retroactively for all invoices beginning in March 2020 the following policy:

  • All Credit Card surcharges will be waived for inspections and deficiency repairs.
  • If you are able, we respectfully request that invoices are paid on their due date.
    • However, if this is not possible, we will setup a monthly payment plan with Zero Interest for up to six (6) months for all projects.
    • The decision to move to monthly payments will be solely at your discretion.
  • Credit Card surcharges will be waived for monthly payments as well.

Thank you for allowing us to serve your business. We will continue monitor changes to these policies and communicate them to you as soon as possible. Please contact us if you have any questions.

Best wishes of health and safety to you and your families.

Re:         COVID-19/Coronavirus Protocol

This memo is to outline the COVID-19/Coronavirus Emergency Protocol and the responsibilities of each employee at AFP.

Above all else, the health and safety of every employee, our customers, and our community remain the highest priority. AFP is a Life Safety company where the focus of each day is to ensure that the fire protection and life safety systems that we service and install are operating and functioning as designed in the case of emergency. Today, our expanded safety focus is immediate and requires the vigilance of each employee to do their part in minimizing the impact of COVID-19.

Effective immediately, each employee shall observe and enforce the items detailed below:

    1. Prior to reporting for the workday, each employee shall take their temperature and contact his/her supervisor to report their temperature. If you are feverish (100°F or greater), you will be asked to remain at home for a minimum period of 48 hours or 24 hours after being fever-free without the assistance of medication whichever is longer.
    2. Each employee is encouraged to use phone/video conferencing in lieu of face-to-face meetings as much as possible.
    3. Employees able to work from home are encouraged to do so whenever possible.
    4. AFP management will pay close attention to the apparent health of each employee, especially fever and cough. Should an employee appear symptomatic, AFP has the authority to send an individual home.
    5. If you are diagnosed with COVID-19 or have had firsthand exposure (e.g. immediate family member has been diagnosed), you are to inform your supervisor immediately and will be asked to self-quarantine for 14 days.

Thank you for your understanding and helping to ensure we keep our community safe.
